Booking Terms and Conditions

Terms and Conditions – Yew Tree Farm @ Reagill:

IMPORTANT: Bookings made through our website are administered by our booking agent Fells & Dales Limited using their PCI-Compliant booking software (Super Control) which is integrated into our website. All bookings are provisional until confirmed in writing.

Contract: When you submit a booking via our website, you will receive an automatically generated booking summary by email to the email address you provide in the booking form. This does not form a contract between us. A contract shall only arise when your booking is subsequently confirmed in writing via a letter of confirmation sent to you by post or email.

Arrival & Departure: You are welcome to arrive from 16:00 on your day of arrival where a member of staff will meet you to show you around the property and hand over the keys. Departure is by 10:00 on your day of departure. Housekeeping will usually arrival around 9:00 to make a start of stripping the beds. If this will cause any inconvenience to you, please do inform the housekeepers and they will be happy to wait for you to depart. A welcome email with contact details shall be emailed to you 10 days prior to arrival.

Dogs: We are a dog-friendly accommodation provider and do not charge for their stay; however dogs are not to be left alone in the house or bedrooms. Please let us know if you intend bringing your dogs. The person named on the booking will be responsible for any costs of repair or replacement as a result of damage caused by dogs.

Property Damage: The person named on the reservation is responsible for the costs of any repairs and/or specialist cleaning as a result of theft from or damage to the property.

Image Garden and Statues:  The gardens at Yew Tree Farm contain historically-recognised statues sculpted from stone as well as uneven / raised areas which, due to their age, can be hazardous. We encourage guests to make use of and enjoy the garden and explore the statues in the garden however care should be taken at all times and you use these areas entirely at your own risk. Children should be supervised by an adult at all times and not be permitted to climb the statues.

Occupancy: of the property must not exceed 15 persons unless agreed in writing. We reserve the right to refuse occupancy of the property should the number of guests exceed this. The booking will then be deemed cancelled with full loss of payment.

Towels and bedding, as well as soap, toilet paper and a small supply of washing and cleaning detergents, are provided. We do not supply extra towels for the hot tub so guests are advised to bring extra towels if they do not wish to use the provided bathroom towels. Please note that biological detergent is used for washing our towels and bedding.

Firewood: We provide you with one complimentary dumpy bag of seasoned firewood (approx 300kg dry) to be used in the fireplaces. Additional firewood can be ordered at the time of placing your booking which will be added to your final booking total or, during your stay from our suppliers Lisa’s Logs. Any additional firewood you order during your stay is payable by cash, directly to Lisa’s Logs on delivery.

Babies: We have a 1x travel cot and 1x high chair which you are welcome to use. Please let us know if you require either before your arrival.

Lost Property: Please note that there is a minimum £25.00 charge to post any items left at the property following your departure. We accept no responsibility for items left after your departure.

Guest Cancellations: All deposits paid are non-refundable.

  • Cancellations made within 60 days of your arrival date will result in the loss of all monies paid toward your booking. Should you have an outstanding balance within 60 days of your arrival date, then this balance will remain payable and we reserve the right to collect such payments.
  • Cancellations made 61 days or more ahead your arrival date will be cancelled without further charge. Any balance paid, other than your deposit will be refunded to you, less a £25.00 processing fee.
  • Guests are encouraged to take-out appropriate travel insurance.

Owner Cancellations are unlikely but if required will be due to unforeseen circumstances. Should the owner need to cancel your booking, all monies will be refunded back to you if another suitable date is unavailable.

Complaints: Although bookings are administered by our booking agent Fells & Dales Limited, your contract is with the owner of Yew Tree Farm. Therefore, all complaints, queries or concerns should be made directly using the contact details in the property guidebook. Fells & Dales Limited cannot accept any legal responsibility to you for any refund or compensation.

Acceptance of these terms: By paying your deposit, you agree to be bound by these terms.
